Subject: Change to process for collecting race and ethnicity information

University Human Resources (UHR) is establishing a new process for collecting race and ethnicity information from new employees with an employment date on or after July 1, 2010. This process will ensure that the university is in compliance with new federal law.

Implementation of the process will require that departments modify hiring protocols. When filling out the Personal Authorization Form (PAF), the “Race” field within “B2” should be left blank for employees with an employment date on or after July 1, 2010. In addition, departments are not to inquire as to an employee’s race or ethnicity.

UHR will send an email message to each Type 1, Type 6, Type 7, Type 8 and Type 9 employee with an employment date on or after July 1, 2010. The message will direct the employee to a secure electronic application managed by the Office of Information Technology that will allow the employee to self-identify his or her race and ethnicity information. This process is temporary. Beginning in January 2011, the opportunity for all employees to update race and ethnicity information will be available by utilizing Employee Self Service, a component of the RIAS Phase III – PeopleSoft Human Resources and Payroll System.
