Re: Vacation Carry-Over for legacy UMDNJ employees

Pursuant to the University’s vacation policy for legacy UMDNJ employees (60.9.43), staff members may carry over a maximum of one (1) year of earned vacation accruals into the next calendar year.  Staff employees with more than one year of earned vacation accruals may apply for an exception to the carry-over cap by submitting an exception request to University Human Resources (UHR), in writing, with the appropriate authorization of a unit Vice President, Dean, Vice Chancellor or area CEO.

In order to ensure that all requests for exception are reviewed in a timely manner, we are asking that you email your requests to by close of business on Monday, December 22.  Any requests received after that date may not be honored.

In addition, when making a request for an exception in the vacation carryover policy, you should include the justification for the exception, the number of hours being requested to be carried over beyond the capped amount, the number of vacation hours accrued in a calendar year, and the signature of approval of a unit Vice President, Dean, Vice Chancellor or area CEO.  Requests that don’t contain the required information will be returned for clarification and may be declined.

PLEASE NOTE – If the carryover is approved, the staff employee will be permitted to carry over the excess vacation time; however, it must be used by June 30, 2015 or be forfeited.

Legacy UMDNJ Faculty members should be governed by the language in the Faculty Handbook regarding carry over and forfeitures:

Additionally, as a result of the recent announcement in regards to the Memoranda of Agreement (MOAs) between Rutgers University and Teamsters Local 97, IUOE Local 68 and OPEIU Local 153, legacy UMDNJ employees represented by those three negotiating units – as well as non-aligned employees – who will be transitioning to a Fiscal Year vacation and holiday schedule, will not be required to use time in excess of the cap by December 31, but instead will have until June 30, 2015 to utilize vacation time.  On July 1, 2015, these employees will be permitted to carry over one year of vacation accrual, pursuant to existing policies and negotiating agreements.

Thank you for your cooperation. If you have any questions, please contact your Human Resources representative.
