FlexWork@RU Pilot Program Update

Dear Colleagues,

As the fall semester quickly approaches, I write to provide an update regarding the university’s implementation of flexible work arrangements.

Reminder: Flexible Work Arrangement Applications Due August 15

All current telecommuting plans expire on August 31, 2022. Employees are expected to return to campus unless they have an approved flexible work arrangement in the FlexWork@RU System. Applications are due by August 15 and approvals are due prior to September 1.

After completing a Department Needs Assessment and Team Agreement, employees can enter their application into the FlexWork@RU System available on the myRutgers Portal. The flexible work arrangement option is located in PeopleSoft under Self Service. A System User Guide is available to help employees and department heads navigate through the application process.

All flexible work arrangement applications for staff employees must be submitted through the FlexWork@RU System. Staff employees who are granted permission to participate in a flexible work arrangement through this process are expected to work a minimum of three days per week on campus and must live in NJ, NY, PA, or DE. Any requests for arrangements outside of these standards must also be submitted via the FlexWork@RU System with a detailed justification by the employee and the department head. These applications are subject to Cabinet Officer and UHR review.

How to Advertise Flexible Work Arrangements

ROCS has a new feature to advertise approved flexible work arrangements on job postings. The new process is as follows:

  • When submitting a position request, attach the completed Flexible Work Arrangement Feasibility Assessment with the necessary approvals and select the appropriate option in the new field, “Approved FWA for posting.”
  • After your position request is approved, the appropriate language will be inserted into the job posting.
  • If you would like to update an existing posting, please email your completed Flexible Work Arrangement Feasibility Assessment to the HR representative who published your posting.

The posting language is generic and is intended to encourage conversations regarding the flexible work arrangement(s) available for the position during the interview and candidate selection processes.

Offer Letters

All offer letters will be modified by August 15 to include more specific language about the approved flexible work arrangement type available for the position. Please be sure to delete any previous versions of the offer letters and work with your HR Liaison to download the new versions available on Sakai.

FlexWork@RU Pilot Program Learning Series

University Human Resources will be hosting the first set in a series of learning sessions designed to equip staff with the skills necessary to thrive in a flexible work environment and to promote employee well-being. This learning series will begin on August 23. Topics include:

  • Harnessing Hybrid for all Staff
    Tuesday, August 23 | 1:00 p.m. – 2:00 p.m.
  • Harnessing Hybrid for Supervisors and Managers
    Wednesday, August 24 | 11:00 a.m. – 12:00 p.m.
  • Well Balanced for Supervisors and Managers
    Thursday, August 25 | 11:00 a.m. – 12:00 p.m.
  • Take Control of Your Well-Being for all Staff
    Thursday, August 25 | 1:00 p.m. – 2:00 p.m.
